Privacy Policy

This Privacy Policy explains what personal information Aptemi (we, orus) collects, how we use it, and the choices you have. It applies to the Aptemi mobile app and website.
1. Information you provide
- Account: your name, email address and password.
- Profile photo: optional. Location metadata is stripped from photos before they are stored.
- Business details: if you turn on business tools, the business name, category, description, locations, social links, service listings, prices, availability and booking settings you enter.
- Bookings: the appointments you make or receive, and the short note a client adds to a booking request.
- Follows: the businesses you choose to follow.
- Team invitations and client invitations you send, including the email address or phone number you invite.
- Reports: if you report a profile or booking, the reason and any text you add.
- Support messages you send to us.
2. Information collected automatically
- Time zone: detected from your device so appointment times are shown correctly. It is re-checked when you open the app and is not manually editable.
- Push token: a device identifier issued by Apple or Google that lets us send you notifications, stored only if you enable notifications.
- Technical logs: our infrastructure providers process standard request data such as IP address and timestamps to run the service securely.
Product analytics and diagnostics: Aptemi uses PostHog for basic product analytics (which features are used, and how often) and GlitchTip for crash reporting. Events are tied only to your account identifier, never to your name, email or phone number, and no advertising SDKs are used. Crash reports may include technical device and error details so we can fix problems.
3. How we use your information
- to create and run your account and the business tools;
- to show business profiles, generate available time slots, and take bookings;
- to send booking-related notifications and reminders by push and email, and to send invitation messages you ask us to send;
- to enforce booking rules such as no double booking and class capacity limits;
- to handle blocks, reports, safety issues and disputes;
- to operate business subscriptions through the app stores;
- to understand which features are used and to diagnose crashes and errors;
- to secure the service, prevent abuse, and meet legal obligations.
4. What other people can see
- A business page shows the business name, category, description, services, locations, social links and staff first names to anyone who can view the page. Public businesses also appear in search.
- When you book, the business sees your name and your booking note only. Your email address and phone number are not shown to businesses in the app.
- When a business books you, or acts on your booking, you see its profile.
- We do not sell your personal information.
5. Service providers we share data with
We use a small number of processors to run Aptemi. Each handles data only as needed for its role.
- Supabase — database, authentication and backend hosting.
- Cloudflare R2 — storage and delivery of profile photos.
- Expo push service (Apple APNs, Google FCM) — delivery of push notifications.
- Resend — delivery of transactional and booking-related email.
- RevenueCat — management of business subscription status.
- PostHog — basic product analytics.
- GlitchTip — crash and error reporting.
- Apple and Google — processing of subscription payments and, for the app itself, distribution.
6. Notifications and email
You can turn off categories of push notification in the app under Settings. Some booking-critical messages, such as a confirmation, cancellation or the pre-session reminder, are also sent by email so you do not miss them. Account and security emails cannot be switched off while your account is active.
7. How long we keep data
- Account and profile data is kept while your account is active.
- When you delete your account, your login is removed, your profile is anonymised (your name becomes Deleted user), your photos are removed, your contact details are erased, and your future bookings are cancelled with the other party notified.
- Records of completed bookings are kept in anonymised form so the other party retains an accurate history, and report and moderation records may be retained for audit and dispute purposes.
8. Your choices and rights
- Access and correction: most of your data is visible and editable in the app. Contact us for anything that is not.
- Deletion: delete your account in the app under Settings, or ask us to do it.
- Regional rights: depending on where you live, you may have rights under laws such as the GDPR or the CCPA, including to access, correct, delete or port your data, and to object to certain processing. To exercise them, contact us at the address below. You may also complain to your local data protection authority.
9. International transfers
Aptemi is a global service and our providers may process data in countries other than yours, including the United States. Where required, we rely on appropriate safeguards for these transfers.
10. Security
We use access controls, encryption in transit, and database-level rules that restrict each user to their own data. No system is perfectly secure, but we work to protect your information and to respond quickly to any issue.
11. Children
Aptemi is not intended for anyone under 18, and we do not knowingly collect data from children. If you believe a child has given us personal information, contact us and we will remove it.
12. Changes to this policy
We may update this policy as the product changes. Material changes will be notified in the app or by email before they take effect.
